Business Management Specialist & Assistant (m/f/diverse)

    Your tasks

    Leadership & Organizational Enablement

    • Coordinating leadership calendars, routines, travel, and stakeholder engagement
    • Preparing presentations and briefing notes
    • Supporting leadership communication (updates, messaging, alignment topics)
    • Owning follow-ups from leadership meetings and tracking execution across teams

    Business Management & Governance

    • Coordinating procurement for external vendors (contracts, orders, invoices)
    • Supporting Third Party Risk Management (TPRM) processes
    • Contributing to Business Continuity Management (BCM) documentation & controls

    Operational Excellence & Coordination

    • Organizing meetings, workshops, offsites and cross-team alignment formats
    • Keeping documentation structured (Confluence, SharePoint, decision logs)
    • Acting as an interface to e.g. Procurement and external partners
    • Supporting onboarding of new team members and internal organizational processes

    Your profile

    • 3+ years of experience in Business Management, PMO, Leadership Assistance, or a similar coordination/governance role
    • Strong analytical and organizational skills with high attention to detail
    • Very good communication skills in English; additional German skills are a strong plus
    • High proficiency in Microsoft 365 (Excel, PowerPoint, Teams, SharePoint)
    • Experience with procurement, BCM, or TPRM processes is a strong plus
    • Eagerness to work with modern AI tools (e.g., Copilot) and high level of comprehension to drive new topics forward
    • Proactive, reliable, and comfortable navigating complex stakeholder networks
    • You are not afraid of being the first to set the footprint for our division in Sofia and expand our base there

    Together, we are building the digital advisory bank of tomorrow. The Key Area Office (KAO) is responsible for strategic, architectural, steering, and cross-functional tasks. We are the direct point of contact for the Chief Investment Officer Private and Entrepreneurial Customers (‘CIO PUK’) and our Cluster Leads. You will work closely cross-location with the Head of Business Management in Frankfurt.

    Alongside our business management team in Frankfurt, you will serve as an operational backbone to our Leadership Team — ensuring smooth processes, professional communication, and compliant execution of business management routines. Your role is split ~ 50/50 into supporting our leadership team and conducting business management tasks.
