Cluster Specialist – Budget, Sourcing & Governance (m/f/diverse)

    Your tasks

    • Maintaining an overall view on cluster budget and costs (incl. actuals and forecasts);
    • Using M365 tools (e.g. Excel Online, SharePoint lists) and SAP CO to track budget, requests and costs;
    • Preparing regular cost overviews and management summaries for the Cluster Lead and Product Owners;
    • Ensuring traceability of costs across initiatives and external providers, including support for contract extensions and renewals;
    • Coordinating requests for external capacities and licenses in close cooperation with the Cluster Lead, Product Owners and Procurement;
    • Creating and processing orders for external staff and license contracts in the relevant systems and ensure correct coding (cost centers, projects, etc.);
    • Ensuring that all requests and orders are complete, compliant and aligned with the available budget;
    • Monitoring the status of procurement requests and orders (capacities and licenses) and keeping stakeholders informed.
    • Coordinating onboarding and offboarding of external staff (access rights, tools, workplace setup);
    • Tracking contract periods, extensions and end dates and ensure timely follow-up;
    • Maintaining an up-to-date overview of the external workforce in the cluster (roles, duration, cost impact);
    • Acting as deputy in authorization management, e.g. for user and access rights administration in line with internal policies;
    • Creating and maintaining CATS worklists in SAP to ensure correct allocation and recording of working time.
    • Supporting Product Owners in tracking due dates and actions in Pentana (audit workflow tool);
    • Conducting internal risk and quality checks for HR processes;
    • Maintaining the cluster SharePoint and act as central contact for key documents.

    Your profile

    • Experience in PMO / Controlling / Cluster or Project Management, ideally with budget responsibility;
    • Good understanding of budget, cost and procurement processes, especially for external staff and licenses;
    • Confident use of M365 tools as well as SAP CO;
    • Structured, reliable, numbers-driven, with strong communication and coordination skills;
    • Very good English, German is an advantage;
    • Degree in Business Administration, (Business) Informatics or equivalent.

    In our HR Processes & Products cluster, more than 100 colleagues work on exciting topics ranging from payroll accounting, compensation and people development to recruiting. The implementation is carried out in an agile manner according to the scrum method.

    The Cluster Specialist – Budget, Sourcing & Governance plays a key role in the cluster’s financial and operational governance. The role combines budget and procurement activities with documentation, process coordination and internal controls to ensure transparency, compliance and the smooth execution of key cluster processes. The position offers the opportunity to make a visible contribution to the reliable and efficient running of key cluster activities.
