Your tasks
- Creating and monitoring purchase orders for Frankfurt, Lodz and Sofia teams;
- Providing meaningful reporting;
- Ensuring accuracy of purchase orders - vendor rates, cost centers, approvers
- Communicating with product owners, procurement and management for Purchase Order and invoice approvals;
- Liaising with vendors to ensure any issues resolved, eg. incorrect invoices;
- Supporting Procurement team in contract negotiations;
- Ensuring all work completed and goods received correctly approved;
- Documenting purchase order and invoice details - including storing document copies where required;
- Communicating with Finance to reconcile actual costs to expected;
- Identifying and investigating any unexpected costs;
- Liaising with vendors to ensure any issues resolved eg incorrect invoices;
- Establishing of a montitoring for flexhub KPIs;
- Monthly review + documentation;
- Onboarding, renewal and offboarding of contractors;
- Completing reliability checks and on-off/boarding documentation;
- Providing HR with all required staffing information;
- Improving end to end boarding processes to make turnaround as efficient as possible;
- Ensuring adherence to German and Bulgarian employment laws;
- Making sure working time is booked accordingly across different projects/applications;
- Approving time recording in the system;
- Creating of monthly reports with working time approved by Line Managers;
- Processing working time confirmation;
- Liaising with vendors and contractors to resolve any issues;
- Organizing cluster meetings and supporting offsite events;
- Working with global cluster communication team to plan and present at Key Area events;
- Being a point of contact for general cluster queries and main contact for financial topics for the cluster.
Your profile
- Proven stakeholder management - communicating with stakeholders to understand requirements and resolve issues;
- Experience with Microsoft Office applications (Excel, Word, Outlook, PowerPoint);
- Experience with Applying procurement best practices;
- Experience with Confluence/Jira for documenting and sharing processes/information internally; Jira as primary agile tool;
- Strong communicator and fluent in English- both written and spoken;
- Good organizational & time-management skills with ability to effectively prioritize tasks;
- Enjoy working on complex issues and breaking down problems to find a solution;
- Driven by a strong willingness to learn using creative thinking and proactivity;
- Good team player with high ability to work in international teams.
- High flexibility and adaptability to a fast-changing environment.
