Senior Administrative Assistant with German

- Providing expert administrative and strategic support to the cluster management in DTS , ensuring seamless coordination across key initiatives and daily operations;
- Managing and prioritizing incoming communications, including dispatching of mailboxes, to ensure timely and effective handling of essential topics;
- Coordinating and maintaining calendars, proactively identifying and scheduling meetings, workshops, and leadership sessions across multiple stakeholders;
- Planning and executing workshops, including agenda development, participant alignment, and logistical organization to support strategic outcomes;
- Safeguard sensitive information and communications with the highest level of confidentiality and discretion;
- Acting as a reliable interface between the Cluster Leads and internal/external stakeholders, ensuring structured follow-ups and clear communication;
- Supporting and advise the Cluster Leads by identifying critical priorities, filtering non-essential topics, and enabling focused decision-making.
- Proven experience in managing calendars, coordinating meetings, and organizing workshops with precision and efficiency. Skilled in handling mailbox dispatching and ensuring timely communication across multiple stakeholders;
- High ability to assess and distinguish between essential and non-essential topics, enabling focused decision-making and strategic alignment with leadership priorities;
- Demonstrated commitment to safeguarding sensitive information and maintaining strict confidentiality in all communications and documentation;
- Professional experience in the agile and ITIL environment;
- Ability to work effectively in a team and collaborate with other teams, including external service providers;
- Strong project management skills to coordinate tasks and ensure timely execution;
- Service-oriented and transparent approach in collaboration with ordered services and stakeholders;
- Structured and responsible distribution of information to third parties, ensuring clarity and confidentiality;
- Fluent German and English – both written and spoken, with strong written and verbal communication skills to support cross-functional collaboration and stakeholder engagement;
- Bachelor's degree in Business Administration, Economics or related field required, master's degree in business administration preferred.

The role is responsible for managing communication channels, coordinating calendars and meetings, planning workshops, and ensuring that the Cluster Leads are supported in their daily responsibilities.
