Your tasks
- Handling all regular correspondence of CEO and taking consequent measures
- Searching for relevant information in documents, public press and the company itself for the need of CEO
- Coordinating communication and activities in relation to other management members
- Handling confidential matters, letters, answering phone calls, dealing with visitors, answering questions of clients and employees with the aim to save time of CEO
- Organizing the time schedule of CEO, arranging appointments and assisting with trip organization
- Settlement of petty expenses / business trip costs of CEO, Head of Czech & International Desk and Head of Czech & Slovak Regions
- In case of CEO´s absence passing complex and urgent issues to relevant persons
- Preparation of materials and data for meetings and conferences / asking all members for agenda topics / preparing & distributing the agenda / participating in all the meetings and taking minutes & storing
- Set up of Teleconferences / Videoconferences + handling invoices for these services
- Regular update of Regulatory OrgCharts & check with CEO and COO & upload into Comnet
- Supporting internal events
- Administration of meeting rooms
- Contact for CBA / CNB
- Weekly reporting of Absences & Visits (of all department heads; distributed to all the heads + HR + reception + accounting on Fridays)
- Regular recertification of folders on P:drive
- Monthly reporting of working days of CEO to HR Department
- (Yearly) Review of subscription for newspaper and confirming to GS-OS
- Other administrative activities
Your profile
- University Degree level education
- 3+ years of work experience in an Assistant role
- In-depth knowledge of Commerzbank internal processes and company culture, ideally within IC environment
- Fluent Czech and English; command of German would be an advantage
- Strong communication and organizational skills
- Attention to detail, pro-client approach, independent and self-motivated personality
